Costume Rental Terms & Conditions

Costumes on Hire

A list of costumes booked for hire will be attached to the booking confirmation email / invoice estimate and forms part of the Agreement.

All prices are based on a one-week hire period unless otherwise stated.

Booking Confirmation & Commitment

A booking is only confirmed when:

  • This Agreement has been signed, and

  • The required deposit of 25% (if applicable) has been paid.

Once confirmed, Burton Costume Project will reserve the costumes exclusively for the Hirer for the hire period.

Unless otherwise agreed:

  • Deposits are non-refundable if the Hirer cancels

  • Hire fees remain payable if cancellation occurs within the notice period below.

 

 

Cancellation

If the Hirer cancels:

  • More than 21 days before the hire start date: deposit retained, no further charges.

  • 14–21 days before the hire start date: 50% of the hire fee payable.

  • Less than 14 days before the hire start date: 100% of the hire fee payable.

Where possible, Burton Costume Project will make reasonable efforts to re‑hire the costumes. If the costumes are successfully re‑hired for the same period, any hire fees paid beyond the retained deposit may be refunded or reduced.

These terms reflect preparation time, administration, and the likelihood of being able to rebook the costumes at short notice.

Care, Use & Responsibility

The Hirer agrees:

  • To use costumes for their intended purpose only.

  • Not to alter, modify, or adapt costumes without written permission.

  • To ensure costumes are worn and handled with reasonable care.

  • To keep costumes away from smoke, paint, makeup transfer, fake blood, adhesives, or substances likely to cause staining or damage unless explicitly agreed.

  • The Hirer is responsible for the costumes from the time of collection/delivery until they are returned and checked

 

Loss, Damage & Cleaning

  • Normal wear from appropriate theatrical use is included.

  • The Hirer accepts liability for:

  • Loss, theft, or irreparable damage.

  • Excessive damage beyond normal wear.

  • Cleaning required beyond standard cleaning.

  • Charges may include repair costs, specialist cleaning, or replacement value if an item cannot be repaired.

Insurance

  • Unless otherwise agreed in writing, the Hirer is responsible for ensuring appropriate insurance cover for hired costumes, particularly for professional, commercial, or large-scale productions.

Collection, Delivery & Returns

  • Collection and return arrangements will be agreed in advance.

  • Costumes must be returned:

    • On time

    • Complete

    • In the condition supplied (allowing for normal wear)

  • Burton Costume Project reserves the right to charge for late returns or incomplete returns.

Force Majeure

  • Burton Costume Project shall not be liable for failure to fulfill the hire where this is due to circumstances beyond reasonable control (including illness, accident, venue closure, or other unforeseen events). Any payments already made will be discussed fairly on a case-by-case basis.

Governing Law

  • This Agreement is governed by the laws of England and Wales.

Burton Costume Project does not offer bespoke costume design services. Any styling or show-specific use is the responsibility of the hirer. While we’re happy to suggest items that may suit your production, this is informal guidance only and not professional design advice.
